Job Summary:

As an advanced writer, you will be responsible for driving strategic activities associated with the Request for Proposal (RFPs) process. You will be challenged to research, organize and synthesize information to ensure the highest quality of service is provided, while remaining consistent with the Company's policies. In addition, you will participate in the activities involved in the resolution of issues associated with the RFP process, owning them from start to finish.


Major Responsibilities/Activities:

  • Assembles ad hoc proposal reply teams comprised of Sales Representatives, Solutions Architects, Implementation Architects, Integration Architects, Product Managers, Subject Matter Experts (SMEs) and Security Analysts and facilitates the preparation and submission of responses to IT SaaS RFP’s, RFQ’s and RFI’s in the Job Recruitment, Advertising, Onboarding and Benefits Administration sphere.
  • Performs red-flag review of solicitation instruments and composes cogent, high-level Bid Assessment document for Management-level review.
  • Works collaboratively with proposal reply teams to write, produce and submit high-quality proposals in response to a variety of commercial and government-facing solicitation instruments. 
  • Demonstrates ability to work in tandem with multi-functional teams to solve problems and achieve results under significant time constraints and external pressure.
  • Conducts project kick-off calls and establishes, maintains and distributes proposal reply schedules and task assignments.
  • Facilitates completion of project requirements, coordinates internal strategy meetings, outsources questions, and formats Word, Excel and PowerPoint documents.
  • Develops outlines and adheres to established style guides, etc. 
  • Demonstrates ability to perform product-related research, complete informational interviews with a cross-section of SMEs, and integrate the information and data gleaned from multiple sources into easily digested proposal materials.
  • Utilizes existing documentation to address recurring content inquiries and develop tailored responses in an effective manner.
  • Ensures that the proposal reply teams meet established internal project milestones for task assignments and external deadlines for submission.
  • Makes certain that project output is consistent with established solicitation requirements and internal business objectives. 
  • Coordinates preparation, revision and distribution of final drafts of proposal documents and ensures compliance with external "deliverables" requirements. 
  • Tracks the progression of SaaS-based sales opportunities through the solicitation cycle.
  • Develops and maintains proposal submission tracking spreadsheets and reports.
  • Improves proposal coordination and production efforts through ongoing review, evaluation and re-design of existing processes, methodologies and boilerplate materials. 
  • Develops and maintains templates, boilerplate materials and new content as appropriate.

Job Requirements:

  • Bachelor’s Degree or above in English, Journalism, Communications, Business, Management, Procurement or related field is highly desirable.
  • Minimum of 3-5 years of experience with writing, developing, editing and coordinating submission of commercial and government-facing proposals—preferably in the IT/SaaS field.
  • Demonstrated proficiency with the Microsoft Office Suite, including Word, Excel, PowerPoint and Outlook coupled with the ability to manage responses in the OneDrive environment.
  • Capacity to work on multiple proposals in parallel and assist team members with completion with other projects as required.
  • Excellent written, oral communications and editing skills.
  • Proven analytical, problem-solving and time management skills.
  • Excellent organizational and interpersonal skills.
  • Self-motivated and capable of working well under minimal supervision following brief introductory training period.


Additional Knowledge, Skills, and Abilities:

  • Certifications earned in the IT, IS and/or PM fields.
  • Experience with proposal automation software a plus.
  • Demonstrated familiarity with Salesforce or similar CRM platform (Infor, NetSuite, Sage, Microsoft (Dynamics), Oracle Siebel, etc.).
  • Graphic design capabilities and experience with Visio and MS Project are highly desirable.
  • Formal training in structured proposal development is a plus.
