Position Overview

The Flexible Spending Account Administrator manages each client’s Flexible Spending Plan (Medical, Dependent Care, Transit and Parking and Retiree Reimbursement accounts) and HSA Plans to the specific rules set forth on the client level.


Job Duties and Responsibilities

  • Receives data from clients via csv or excel on a weekly, bi weekly, semi monthly, or monthly basis. Formats data into excel for uploading into our Flex System.  Once upload is complete, audits the account to ensure accuracy of the uploaded data.
  • Handles participant inquiries regarding paid or denied claims for all plans serviced by WORKTERRA.
  • Audits payroll and participant records to assure proper allocation of FSA funds.
  • Processes and runs discrepancy reports after each payroll report is uploaded into the Flex system.
  • Works closely with other departments (Claims, Customer Service and Accounting, etc.)
  • Prepares and delivers quarterly and/or third quarter reports to participants pursuant to agreement with client
  • Prepares and audits client forms – SPD’s, Forms 5500, etc.
  • Attends client orientation and informative meetings regarding existing or new clients.
  • Implements new client accounts in Flex system, if requested
  • Answers daily inquiries and requests from consumers, clients and brokers
  • Prepares forfeiture reports annually
  • Prepares Open Enrollment materials / files for assigned clients
  • Other tasks and duties as assigned

Job Requirements:

  • Education: Four year degree or equivalent experience
  • Experience: 1-3 years of Flexible Spending/ HSA knowledge
  • Knowledge and Skills: In depth knowledge or Medical, Dependent Care, Parking and Transit, HRA and HSA plans. Claims processing. Word, Power Point, Heavy Excel (mandatory) knowledge including Vlookups and Macros.
  • Strong background in customer service



  • Strong work ethic, professional; ability to work independently as well as in a team environment.
  • Strong interpersonal, organizational communication skills; friendly; eagerness and ability to accept responsibility.
  • Ability to cope with a variety of situations and manage several accounts without difficulty necessary.
