This senior-level Executive Assistant opportunity allows you to take on growing levels of executive support and gain exposure to many aspects of the business. You will provide high-level administrative and research support, assist in schedule management, handle internal and external communication, and execute multiple complex and diverse special projects, as directed. You should be highly detailed, enthusiastic, and focused on maintaining the confidentiality of all corporate, personnel, research, and personal matters. You will prioritize strategic initiatives and facilitate critical path deliverables and will require a strong working relationship, trust, and seamless communication.


A successful candidate is someone who can anticipate needs, be one step ahead, is extremely organized, can multi task and be able to handle high pressure situations with poise and professionalism. This candidate must possess superior interpersonal and communication skills, both written and oral. Additionally, this candidate must anticipate the needs of the executive and proactively take initiative to independently solve problems.

Job Summary:

The Executive Assistant (EA) will provide top-level administrative support for CareerBuilder’s CEO. The EA is well organized, dignified and comfortable interacting with Executives. The EA effectively performs a variety of complex and routine administrative duties with little or no supervision.  Independent judgment is required to plan, prioritize and organize a varied workload.


Major Responsibilities/Activities:

  • Maintain communication with Executive throughout the day, as needed via text or email to ensure they keep to their schedule and are made aware of schedule changes.
  • Extensive calendar and travel management
  • Draft presentations for executive review.
  • Event Management to include, planning and organizing staff events
  • Must be technically proficient in preparing expense reports using Concur.
  • Plan and organize company events to take place inside or outside of the work place.
  • Proactively manages all logistics and agendas for meetings. Assists with meeting preparation and follow up, including maintaining agendas, creating pre-meeting packets, taking notes if needed, distributing and checking on follow-up items.
  • Assist with various sales and non-sales administrative tasks and projects.
  • Complete special projects and assignments by prioritizing, managing the timeline for deliverables, and working with others to garner support.
  • Represent CareerBuilder Leadership and liaise with other internal and external constituents on their behalves.

Job Requirements:

  • Advanced competency with Microsoft office tools including proven expertise experience with powerpoint presentations, calendar management in Outlook and Excel reporting.
  • Minimum 8 years of experience successfully supporting an executive or executive team 
  • Must be technically proficient in preparing expense reports using Concur
  • Experience with Salesforce a plus
  • Exceptional interpersonal, written and verbal communication skills
  • Must demonstrate the ability to handle highly confidential and sensitive information
  • Excellent organizational and time management skills
  • Ability to multi-task, prioritize well and handle a number of potentially conflicting priorities; must be able to work effectively in a fast-paced environment
  • Ability to exercise independent judgment consistent with department guidelines
